🌱 Market Participation & Attendance
Our goal is to create a reliable, high-quality monthly market that benefits both vendors and the community.
- Season vendors are expected to participate in each scheduled market during the season.
- Each season vendor is allowed up to two (2) cancellations for emergencies or unavoidable conflicts.
- Because our market is monthly and space is limited, additional cancellations may result in your space being offered to another vendor.
- We understand that life happens and truly appreciate open communication.
- Vendors may designate a trusted representative to operate their booth if they are unable to attend personally.
To maintain the integrity and sustainability of the market, the Cane Bay Community Farmers Market reserves the right to manage vendor placement and participation as needed.
📝 Applications & Acceptance
- All vendors must submit a completed application for consideration.
- Applications are only reviewed once the application fee is received.
- Please be sure to use the same email address when submitting your application and paying your fee so we can correctly match your information.
- Acceptance notifications will be sent via email. Please check both your inbox and spam folder.
Submitting an application does not guarantee acceptance.
🧺 Vendor Selection Process
To ensure a balanced and enjoyable market experience, vendors are selected based on:
- Product quality and originality
- Category balance (to avoid oversaturation)
- Booth presentation and setup
- Local relevance and uniqueness
- Alignment with the market’s mission and community values
Direct sales representatives: Limited to one per company.
Priority may be given to vendors with:
- Locally produced goods
- Strong presentation
- Unique or hard-to-find offerings
🏕 Booth Space & Setup
- Vendor space sizes vary depending on category.
- Booth assignments are determined by market management and are non-transferable.
- Vendors will receive setup and parking instructions prior to each market.
🔌 Equipment & Utilities
- Vendors are responsible for providing all equipment needed for operation, including tents, tables, weights, and displays.
- Access to electricity or water is limited and not guaranteed and must be requested in advance.
🧹 Cleanliness & Trash
Vendors are responsible for maintaining a clean and safe booth area:
- During setup
- Throughout the market
- During breakdown
All trash must be removed from your area before departure.
📣 Marketing & Promotion
- Vendors may distribute promotional materials only from their assigned booth space.
- Soliciting or distributing materials away from your booth is not permitted.
- Market-wide promotion is handled by the Cane Bay Community Farmers Market team.
⏰ Market Hours & Attendance Expectations
- Vendors must be set up and ready by 9:30 AM.
- Vendors are expected to remain open for the entire duration of the market (10:00 AM – 2:00 PM).
- Early breakdown is not permitted without prior approval.
- Vendors arriving late may forfeit their space without refund.
🌦 Weather & Cancellations
- Markets are held rain or shine, barring unsafe conditions.
- The Cane Bay Community Farmers Market makes no guarantees regarding attendance.
- Vendor fees are non-refundable, except in the event of a full market cancellation by organizers.
⚠️ Policy Enforcement
Failure to comply with market policies may result in:
- Removal from the event without refund
- Loss of eligibility for future markets
These policies are in place to ensure a positive experience for vendors, shoppers, and our school partners.
✅ Vendor Agreement
By participating, vendors agree that:
- They assume responsibility for their booth, products, and operations
- They will comply with all applicable local and state regulations
- They release the Cane Bay Community Farmers Market, host site, staff, and volunteers from liability related to injury, damage, or loss
- They are responsible for collecting and remitting any required taxes
🔄 Fill-In Vendor Option
We offer a Fill-In Vendor Option for those who know in advance they may miss multiple market dates.
If you anticipate missing three (3) or more markets during the season and would like to be considered only when space becomes available, please select the Fill-In option on the application.
